Hi Nick Further to our meeting with you on Tuesday about the provisional contract, we have held a meeting of the full drama committee to discuss the issue. We regret to inform you that the budget for the musical as it stands cannot support the extra costs incurred by holding it in the Helix. According to our projected revenue/ income breakdown, the only contract we could afford would be along the following lines: A 2500 flat fee for the Hire Wages for crew up to 1800 Our breakdown for the crew costs is as follows: 4 staff x Sunday at 20 euro an hour for 10 hours = 800 2 staff x monday at 20 euro an hour for 10 hours = 400 1 staff x (tues. wed. thurs) x at 20 euro an hour x 5 hours (7-12) = 300 1 staff x friday x 20 euro an hour x 6 hours (7-1) = 120 1 staff x friday x 20 euro an hour x hours x3 hours(just the move out) = 60 totalling 1680 (If there are any miscalculations in our figures please let us know) This figure of 4300 would be from first call on ticket takings. We would not be asking the Helix to cover any of our equipment hire costs. Apart from purely financial difficulties, there are also some other technical problems that have become clearer to us after talking to a number of ex-members and technical crew. Although the get-in time is quite tight, but possibly manageable, the get-out time (two hours after the last show on the Friday night) is not physically possible. The set we have requires a minimum of 20 hours to set up and roughly 8 hours to take down. Also, the lack of intelligent lighting means that our lighting director cannot go ahead with some of his plans for the lighting design, and while this is not a major problem in itself, it adds to the list of problems we have to consider when making a decision on this. We realise that this is significantly different from the contract we were discussing with you, but at this time, it is all that DCU Drama can offer the Helix. We appreciate the time and effort you have made available to us, and while we would love to use the Helix, we understand that this may not be possible.
