[Drama-committee] EMERGENCY meeting RE: musical
I'm sorry if this is too short notice be we need an emergency meeting with as many of the committee as possible tonight (6.30 before we leave for the show) or tomorrow at lunch time (we can talk to medb and mags individually before then if this is better so as to have their opinions). Its about the helix, whether or not to go into it. I'm putting the details here on the list to save time explaining later. helix's proposal : they take the first 7500 of ticket sales, we take the next 2000 and we split the rest 70/30 to us. not too bad a deal coming from their point of view in that this covers for them staff up to 2500, sound equipment up to 800 and the rest is rental which is usually 2500 per night. The proposal I want to send them is : They take the first 6000, this includes staff costs of 1800 (he tried to rape us on this point, this is paying them 20 euro an hour and yes there is no getting around this). and they get a rental fee of 4200 for the week. We take the next 2500 of ticket sales and we cover the cost of equipment hire which I BELIEVE we can get down to below 500 and anything over 8500 we slpit 60/40 to us which I believe will cover our costs and make it appealing to the helix to agree to. They will not allow us to rape them just because they dont have anyone else in there to take if off our hands and if we abuse this fact we loose any chance of future generations getting in there which would be a huge shame. Having spoken to Riona and Paul they do not agree that the Helix should be taking any cut after the initial takings which have yet to be passed but I disagree because its not going to make a huge difference in the long run and it looks alot more inviting to them and hopefully they will look favourably on drama soc and make this available an available option to the committee to come. This is what your opinion is needed on. Do either of these deals look ok and is the majority of us happy with going into the helix. My vote is a yes to my proposal. What say you? Having worked on the budget, 2000 from ticket sales will be close, 2500 should keep us afloat provided the preident gives us 2000, the spc gives us 5000 and the programme gets us 1200 ( approx 12 ads at 100 each) Any more money we can guarantee will enable us to modify the set and I think the president should be asked for a minimum of 2500 to allow us to do just this. Pleeeeese think about this and reply in a mail.

Yeah a meeting this evening is no problem. But let me get this straight: Proposal I works out in the following way. They take the 1st 7,500 ticket sales. For arguments sake, our tickets are 10. So current Helix take in so far : 75, 000 The helix want to pay all their expenses (!) and staff wages. The kind hearted souls. Let's take that into account. Staff + sound = 3,300 5 x Rental = 12,500 Total = 15, 500 So, the net money the Helix takes is about 59, 500. Not bad.. for them. Drama takes the next 2000 ticket sales. Drama gross @ this point = 20, 000 The remainder goes 70 / 30. That's an awful lot of assumptions. What's the Helix's capacity? Can it humanly hold the 10 000 people required over 5 nights or justify the prices the helix are quoting? It seems a little brazen of them to try that, considering that time is dead space and if we wanted to fuck 'em, they'd lose more then DCU Drama would. I'm not trying to be excessively negative, I'm curious as to how they think they can justify this from a Nonprofit organisation. Have I got this correct or am I as confused as I think I am? So onto proposal II... So let's see this one. The helix takes the first 6000 = 60, 000 They take their expences from this: 4200 + 1800 = 6000 Total take home pay for the Helix: 54, 000 (But like any venue worth there salt they'll make up expences and levees as they go, mainly because they can) DCU Drama take the next 2, 500 ticket sales. = 25, 000 BUT we pay technical costs = 24, 500 This is, for us, a far better proposal. I feel 8, 500 is easier to get than maybe 10/12 000. Good for the helix too, but 5,500 less than they'd want from prospect I. But, if we got more people in over our quota (pretend!), what would the splits be? I would hope nothing to the Helix but they're tight buggers so that's a tough cookie for us. Let Elaine and Riona at them with sticks. I recon they'll still want 70/30, which they shouldn't get but we'll see. I support this one. It's tough and we could fall on our faces, but folks, it's the Helix. That automatically generates more interest and (apparent!) professionalism than most other amateur places combined...and it'll be a blast ;) So feck it, why not? Count me in on this one, and if you can play him lower, do it. They need someone to fill that deadspace, let's gently sledgehammer that home. What does everyone think? Yours, David. the the think
