Hey Dee, I think I've managed to read between the lines of your e-mail. I'd just like to say that I wasn't fully aware of the situation when I text you earlier and I apologise if my actions caused any offence Out of respect for the organising committee in UCC, I would like to change our stance on the matter. If it's alright with you, we shall to *abstain *from voting. If there's a problem with this, please let me know. In the event that lottery does go ahead, we will not me submitting any entries for entry into this lottery. Also, I'm afraid we haven't yet paid our annual membership for the current year. hope you are well. I am writing to you to call an emergency vote by e-mail regarding the matter of a possible extra slot in this years ISDA festival.
Unfortunatley one of our member colleges withdrew their show from the festival yesterday and this means that the slot in which they were meant to perform is now vacant. However it is now less than a week before the festival starts and all pr has been sent out, so this is why we need to have a vote. We need to decide if we should go ahead with a lottery for this slot or if we should leave it empty.
On the one hand it would be great to get one more show into the festival, the more the merrier. But on the other hand this puts increased pressure on the hosting college and festival organisers. I am neutral in my capacity as chair and therefore my opinion is beside the point so I won't bore you all with what I think. Dara and Eve from UCC have e-mailed me on this matter and I have copied and paested their e-mail below for all of you to read.
Dear Chair,
Due to the cancellation of Mary I's attendance at this years festival it has come to our attention that the slot left vacant by them is in demand by some of the other colleges as a lottery slot. We do not believe that this is an appropriate action to take for a number of reasons.
Firstly - as is written in the constitution, we have still supplied the mandatory amount of slots. Secondly - A slot lottery has already been held and if this slot were to be made available another lottery would have to be held. in the constitution it says this is only possible in the presence of the entire council. Thirdly - All of our public relations information has already been finalised and sent out making it impossible to change at this late stage. and Fourthly - Each of the societies has already (or should have if they want to attend the festival) applied for the rights for their plays and bar one particular society they do not have sufficient time to apply for extra preformance rights.
We would also like to stress that if this slot were to be lotteried or even given to a particular society the incredible pressure this would place on myself and Eve as Festival Directors.
Since there is no information regarding such a situation in the Constitution we realise that this is a matter for the Council. However we would like to point out that in section 7.1 (g) it states that "Co-ordination of the Fringe Festival will be at the discretion of the Festival Organisers." We do realise that in section (i) it states that we are answerable to the Council but we would still like to make our decisions (as our discretion allows) known to the Council.
We leave it to your particular discretion on whether you think this should be forwarded to the other colleges. After reading this, thinking about what is best for your society and ISDA and consulting with your committee *I would ask you to e-mail me within 24 hours with either a YES or NO vote in regards to the question; Should the ISDA Council hold a second lottery for one slot at this late stage? I am setting the deadline at 11pm on Saturday night. I will check this e-mail account at that time and count the votes. It is up to you whether you want to hit 'reply all' or to simply reply to me. Each college has one vote. As chair I do not vote unless there is a tie. *
No matter which way you are voting I would ask that if you are interested in being included in a second lottery, if one is held, to make this very clear in the e-mail that you send me. If a second lottery is to be held it will be done so on Sunday by UCC while I am on the telephone to them.
I would ask all member colleges to vote even if you are not in a position to take part in this years festival. You are still a member of the ISDA Council and you should let your voice be heard.
Unfortunately I have to inform all of you that a formal complaint has been made against a member of the ISDA Council and it has been requested that disciplinary action be taken against them. This person will be informed on Sunday after the result has been reached and an investigation will follow. You will be kept informed of what is happening and it will be discussed at our next meeting, April 22nd in DIT.
It saddens me that things have gone so far that this has happened and I hope that maybe the issues involved can be resolved before the next meeting. As I am well aware, having been an ISDA rep myself, you are representing your society and feel that you should always have your societies best interests at heart. But there is no excuse for aggressive and bully-like behaviour and it is my duty as chair to take this allogation seriously and investigate it as thouroughly as possible.
On a more personal note as chair it is my job to be neutral, yes I know I've said this before, but it is also my job to give council members both sides of the story in the situation of a vote. As I don't represent any college on council it is easier for me to do this than it would be for a representative member. So I would request in future that the job of informing people of what is happening can be left to myself.
I hope that all of this can be sorted out and so we can all have an enjoyable festival.
