Hey guys, As far as the hoodies are concerned in my opinion notifying the members on Sunday and distributing them on Monday or a couple of days after is very short notice and will not go down well. I think we should e-mail the members ASAP and tell them that we are *expecting* the hoodies on the 11th and if all goes to plan they will be available for collection from the 13th-17th (or whatever dates we agree on). The members deserve to know what is going on and keeping them in the dark if something goes wrong with the order will not go down well. They have already been told a delivery date so they will be asking questions if the date comes and goes and still no word of the hoodies. As far as times are concerned the people who need to collect them fall into three categories - Those who are not working and can come into college during the day but would be hesitant about travelling into college later in the evening due to traffic and travel etc. - Those who are working and can only travel into college in the evening - Those who live too far away and will collect them in September So I think we should have a mid afternoon pick up time and an evening pick up time over certain days in the week 13th-17th of June. I am available to do an hour or two for one or two days over that week. I can do a mid afternoon time but not an evening time due to traffic and travel etc. When we have decided on times and dates the members should notify us by e-mail so we know how many people we are expecting on each date. Also for people living in Kildare I am more than happy to take their hoodies home with me and they can pick them up from my house if they wish. The hoodies will be delivered to the Hub on the 11th June so there are a few things that need to be sorted by then.
The hoodies are going to need to be counted and the order verified to make sure we have received the correct number of hoodies and the correct sizes before we inform people of when to collect them. After that has all checked out we can inform people about the collection times, where to collect them and what they need to collect them. Any hoodies which have not been collected will need to be kept by somebody until people who did not collect their hoodies are available or until Semester 1 of the next year.
Note Moe will not be able to keep these so ideally somebody else living close by will have to hold them. I will be away from the 10th to the 16thJune and not available.
1. Who is available to verify the hoody order and when? I would prefer this to be Sunday 12th so we are ready to start distributing hoodies on Monday.
2. What times do you think are the best for collection times during the week and when are you available?
3. Who is able to take the hoodies not collected and hold them for the summer?

This is our event. We will be running it and organising it for the incoming first years. There will be approximately 160 – 200 students taking part in this event; we need to think big and easy. The Engineering Schools are looking into prizes for 2 teams of 4 so however we run this event it will be in teams of 4. Last I heard nothing was finalised on the prize front. The will book a slot for us in the orientation week timetable and get this to us as early as possible. They will also give us the list of student names and organise the students into teams of 4 for us and help out with some administration work before and on the day.
They will print and send out a poster/flyer for this event with the information pack sent to first years including the orientation week timetable along with other information. Basically the flyer needs to invite first years to the event and to join us on Facebook. They will input the time and date themselves, I will find out if they can accept Visio files. I think the poster/flyer should be bright/happy and attention grabbing but not too busy, there are no specs as to how it should look except those we put on it. They need the poster before the 9th June due to holidays.
What we need to do now is figure out what is going to be involved in the scavenger hunt and how we are going to run it. I’ve little to no experience with scavenger hunts.
I’ve found a document which was produced by Engineers Ireland for Engineering Week this year which gives a small bit of information on organising scavenger hunts albeit the one they talk of is aimed at primary school students and for people organising it for primary schools attending a university to explore what they have to offer. I’m not sure of the relevance of it for us.
Also attached is a campus map drawn by Laura with possible locations marked in yellow of where the scavenger hunt may take students, does anybody have any additions to this?
