This is an email that Shelly sent us tonight in reply to one we sent her on the 31st of January. If Shelly was doing her duties properly and up to date with things then she would know that we do have a fairly big production crew on board and that we have secured a fantastic costume deal already. I don't appreciate some of the remarks she has made in her email such as me treating her as a "personal shopper". I find such comments highly insulting to say the least. Neither myself nor Conor have ever once asked Shelly to do anything which is above her duties as Sponsorship officer for Drama. We have given her plenty of notice, going back as far as June and July. So she has had plenty of time to contact companies. May I add that she stood up at the AGM last year and went forward to be sponsorship officer, she was not forced to do this. If she doesn't have the time or commitment to give to her position then she should not have agreed to take on the duties. I don't agree that it is the job of the producers to secure sponsorship that is why the Sponsorship officer has the letterheads etc. In the same way we go to Treasurer for cheques we go to Sponsorship for Sponsors. Yet we have on several occasions had no choice but to take matters into our own hands. We have contacted several organisations ourselves and I have sourced contact information and sent this to Shelly. This information has never even been acknowledged to my recollection. We have not asked Shelly to get us discounts on every little thing, in fact we have contacted most places ourselves and gotten deals. Shelly was only ever asked to help out with the bigger deals such as AIB, who are the main sponsors of the show every year. If Shelly is unable to give the time to fulfill her duties and help in the necessary ways then I feel we will have no choice but to take on a Musical Sponsorship officer. Not necessarily a committee member but somebody who can committee the time to find and secure sponsorship deals for us. Without sponsorship we have no chance of making a profit or breaking even as we have based our budget on previous musical budgets which included a fair amount of Sponsorship. I do not intend this email to be the start of a row but merely to straighten out several issues. Campus Print have special deals for Societies where we can get 100 A3 posters printed up for 35 Euro which is better than any other print jobs going. If you want to get posters printed make sure that Shane has money in the Drama account and charge all your printing to the Drama Account but please make sure to take a receipt for every print job you get done so that Shane has it for his records. As for costumes, DCU Drama has a special deal with Clown Around, Alan Kinsella did some work for them so instead of charging us €50 per night for each costume they only charge us €50 per week. This is great for weird, wacky costumes that are needed, for everything else the Costume Mill is a company in town that provide costumes to movie companies for approx 15 euro a week but its cheaper in some cases to buy the required clothing from second hand clothes stores, you should get your costume team to have a look into which is the best option. As for sponsorship, I have secure AIB and will let you know as soon as I get confirmation one way or another from the others. It is my Job to put the pressure on these companies and I do understand that the time for the show is drawing closer by the day but putting pressure on me is not going to make the process happen any quicker than it already is. I am on it and you just have to wait until they get back to me to find out, believe me its more frustrating for me dealing with them than it is for you. If they don't sponsor us in the end then all we can do is try other options and we can discuss this at a meeting at some stage if you feel that you need to have more fundraisers. Dominos are going to get back to us. In the past there was only the dress rehearsal the day before the show sponsored so they will probably give the same. If they agree to sponsor us then we can not go with another company and Dominos have been good to Drama in the past so I do not want to ruin long term ties over one event. I know as sponsorship officer it is my job to try and secure extra funds for as many shows as I can but I must be clear that it is not my job to be your personal shopper and try and get you discounts for everything on the musical budget. The provisional budget submitted to the SPC was for approx 15k and approx. a third of this is a lot of small purchases over many different areas. I will endeavour to help out whenever I can but please bear in mind that I am also producing a show of my own and that as a Drama Committee member I have other responsibilities along with college work. I am only one person and if you feel that you do not have the time to do all these things yourself you should be getting a production team behind you to do these production tasks. I know that the musical is bigger than all of the other shows drama put on during the year but these tasks you are asking me to do are the responsibility of the producer and it is the producer that fulfills them in every other show. I need to start looking into costumes and set materials and so we need to try and get sponsorship in those areas. Also we really need you to get in touch with AIB. I don't know if you have already done this or not but if you have can you please please let me know what the status is? Also if you could look into other local companies and businesses and get in touch with dominoes. Also I have several advertisement designs for posters, tickets and programmes so can you get in touch with local printing shops and reids about sponsorship or special deals if we order a certain amount. I hope to be getting printing of posters done in the next week or two so this is kinda urgent.
